How KCMB & CO LIMITED handles information submitted through this website.
Who we are
KCMB & CO LIMITED, trading as KCMB & CO Accountants, is responsible for personal information we use in connection with our website and accountancy services. Our registered office is Office 10584, 321–323 High Road, Romford, Essex, RM6 6AX. For privacy enquiries, contact kb@kcmbcolimited.co.uk.
Information we may collect
Depending on whether you are making an enquiry or using our services, we may handle identity and contact details; business and company information; financial, bookkeeping and tax records; income, expenditure, assets and liabilities; VAT and payroll information; employment and pension details relevant to the work; correspondence and instructions; and information needed for identity verification and anti-money-laundering checks. We may receive information from you, your business, authorised representatives and, where relevant to the services, organisations such as HMRC or Companies House.
Please do not send passwords, bank login details or detailed financial records through the general website enquiry form. We will explain how to provide client information securely when it is needed.
Why we use information and our lawful bases
For website enquiries, we use your details to respond, assess whether we can assist and take steps you request before a possible engagement. This is generally necessary to take steps at your request before entering into a contract and may also support our legitimate interests in managing enquiries.
For clients, we use relevant information to provide agreed accounting, bookkeeping, tax, VAT and payroll services; maintain records; communicate with you; prepare or submit returns and accounts where instructed; administer our practice; protect our systems; and meet professional, legal and regulatory requirements. Depending on the activity, our lawful basis will generally be performance of a contract or steps before a contract, compliance with a legal obligation, or our legitimate interests in running and protecting the practice. We will rely on consent where the law requires it and consent is the appropriate basis.
Who we share information with
We may share relevant information with service providers who support our website, email, secure document handling, accounting, bookkeeping, payroll and practice administration systems. We may also share information with HMRC, Companies House, professional or regulatory bodies, insurers, legal or other professional advisers, or other parties where this is necessary for the work you have instructed, required by law, or needed to establish or defend legal claims. We do not sell personal information.
Where information is stored
Some service providers may process or store information outside the UK. Where a restricted international transfer takes place, we will use a lawful transfer mechanism and appropriate safeguards where required by data protection law. The exact providers used may depend on the services and systems involved.
How long we keep information
Website enquiry emails are kept only for as long as needed to deal with the enquiry and any necessary follow-up, unless we need to retain them for a legal or regulatory reason. If you become a client, we keep relevant client, accounting, tax and compliance records for the periods required by applicable tax, anti-money-laundering, professional, insurance and other legal obligations. The period depends on the type of record and the circumstances; some records may need to be kept after our engagement ends.
Your data protection rights
Depending on the circumstances and subject to legal exemptions, you may have the right to request access to your personal information, ask us to correct inaccurate information, request erasure or restriction, object to processing, request data portability, or withdraw consent where processing is based on consent. To exercise a right, contact us at kb@kcmbcolimited.co.uk. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
Cookies and third-party website services
The published website source currently loads the Wix headless site script and Wix form-rendering code, and requests font stylesheets from Google Fonts. These services may process technical information such as your IP address, browser and device details when pages or forms load, and Wix may use cookies or similar technologies to operate, secure and deliver website features. We did not find analytics or advertising tracking tags in the published site files we inspected. However, a source-code review cannot confirm every cookie or storage item set at runtime by Wix or its providers. We will update this section if analytics or marketing technologies are enabled and will obtain consent where required by law.
Changes to this notice
We may update this notice when our services, systems or legal obligations change. The latest version will be published on this page.
This notice describes the practice's intended categories of processing at a general level. Before relying on it as a complete client privacy notice, check it against the actual accounting, payroll, email, document-storage and identity-check providers in use, and confirm the retention periods and any international transfers for those systems.
